Storage Roles

Two roles specific to managing storage of physical samples let Sample Manager and LabKey Biologics administrators independently grant users control over these management actions for freezers and other storage systems. This topic describes the Storage Editor and Storage Designer roles. Administrators can assign permission roles in the Sample Manager and Biologics LIMS applications by using the Administration option under the user menu, then clicking Permissions.

Storage Roles

Both storage roles include the ability to read Sample data, but not the full "Reader" role for other resources in the system (such as assay data, data classes, media, or notebooks). In addition, these roles supplement, but do not replace the usual role levels like "Editor" and "Administrator" which may have some overlap with these storage-specific roles.

Storage roles support the ability to define users who can:

  • Manage aspects of the physical storage inventory and read sample data, but not read other data (assays, etc), not change sample definitions or assay definitions: Grant a storage role only.
  • Manage aspects of the physical storage inventory and read all application data, including assays, etc, but not change sample definitions or assay definitions: Grant a storage role plus the "Reader" role.
  • Manage sample definitions and assay designs, and work with samples and their data in workflow jobs and picklists, but not manage the physical storage inventory. Grant "Editor" or higher but no storage role.
  • Manage both storage inventories and non-sample data such as assay designs: Grant both the desired storage role and "Editor" or higher.

Storage Editor

The role of "Storage Editor" confers the ability to read, add, edit, and delete data related to items in storage, picklists, and jobs. The storage-related portion of this role is included with the Administrator role.

A user with the Storage Editor role can:

  • Add, move, check in/out and discard samples from storage.
  • Create, update and delete sample picklists.
  • Create workflows and add or update sample assignments to jobs.
  • Update a sample's status.
  • Does not include permission to add or edit any storage locations or storage units.
  • Does not include permission to read data other than sample data.

Storage Designer

The role of Storage Designer confers the ability to read, add, edit, and delete data related to storage locations and storage units. Administrators also have these abilities.

  • Create, update, and delete storage locations, freezers, and storage units.
  • Does not include permission to add samples to storage, check them in or out, or update sample status.
  • Does not include permission to update picklists or workflow jobs.
  • Does not include permission to read data other than sample data.
