A study administrator can enable the addition of comments about participants, participant/visit pairs, specimens and vials. Authorized users can add these comments and also move copy them between different comment targets.
Enable Comments on Vials and Specimens
If you only need to set comments on a per-vial or per-specimen basis, setup is simple.
- Click the Specimens tab in a study.
- Go to a specimen or vial view (e.g., click on By Individual Vial in the View All Specimens section of the Specimens web part).
- Click Enable Comments/QC above the grid view.
Once you have enabled specimen and vial comments, you can proceed to the
User Guide for Comments for instructions on how to add these types of comments.
Enable Per-Participant and/or Per-Participant/Visit Comments
The comments associated with a Participant or Participant/Visit (or timepoint) are saved as designated fields in particular datasets. Comment fields must be of type text or multi-line text. You do not need to set up both types of comments if you only wish to use one of them.
Note that your study must be configured with
editable datasets to support adding comments for participants and participant/visit combinations.
Create or Add Comment Fields
For holding
participant-level comments, choose a demographic-type dataset (one row per participant) that includes a column for comments. You can also add this column to an existing demographic dataset.
For holding
participant/visit-level comments, choose a clinical dataset (one row per participant per visit (or timepoint)) that includes a column for comments. You can add this column to an existing clinical dataset.
Only users with read access to the selected dataset(s) will be able to view comment information. Make sure your users have appropriate permissions on comment datasets. Choose a dataset to hold the comments that is readable by all users you wish to have comment access.
Enable Comments
In your study, click the
Manage tab, then
Manage Comments. Identify the datasets and columns/fields that will hold one or both kinds of comments.
- Participant Comment Assignment
- Comment Dataset: The dataset selected must be a demographics dataset.
- Comment Field Name: This dropdown identifies the field in the selected dataset that holds participant-level comments.
- Participant/Visit Comment Assignment
- Comment Dataset: The dataset selected cannot be a demographics dataset.
- Comment Field Name: This dropdown identifies the field in the selected dataset that holds participant-visit-level comments.
- Click Save.
