Once
EHR Billing runs have been completed, data about the current run, as well as historical data about prior runs is available to the finance team. This topic helps you understand how you can use this data. You can also selectively share data with others, including the investigators whose projects are being billed.
The set of options may vary per center but typically include:
Invoice Runs
Click
Invoice Runs in the
Historic Billing Data section of the
Finance web part to see the grid of runs with the date of the run, the start and end of the covered billing period, the status, and in some cases, links for exporting in various formats including CSV.
Monthly Summary
Links to view a monthly summary are provided. These summaries show billing by category and may be available separately for direct and indirect costs.
All Invoiced Items
This grid shows all the items invoiced (the ehr_billing.invoicedItems table). You can
filter this data on the Date field to obtain the full set of invoiced items from a specific billing run or other time period.
Access to Billing Data
In some centers, principal investigators (PIs) or others may need some level of access to a subset of the billing data. The link name under
Permissions in the
Finance web part might be
Access to Billing Data or
Assign Investigator Data Access, depending on the center. The grid shows users to whom access has been granted. To add more, select
(Insert) > Insert New Row:

- User With Access: The user to whom you wish to grant one or all of the following:
- Investigator: If a value is entered, the user can see all data related to billing for that investigator.
- Project: If a value is entered, the user can access all billing data for that project.
- Access to all projects?: Check this box to grant access to all billing data.
PI Portal
In some implementations, a
PI Portal web part can be added to a location where PIs can see filtered views of the projects the are authorized to see. Click a project name to view more detail.
